How to submit a group's passports: a step-by-step tutorial for travel agencies

In short

To submit a group's passports on myumrahvisa, the agency sets up its space, describes the trip, sends up to 100 passports and signs the processing order. Each passport is read and then reviewed by a member of our team; the agency answers only the questions that are its to decide, starts data entry, pays the official fees and receives the visas, filed by name.

Private service, not affiliated with the Saudi authorities.

Before you start

This tutorial follows a request through the myumrahvisa agency space, as described on our how it works page. Before you begin, have to hand:

  • Your commercial register extract and travel agency licence, for the agency check.
  • The trip itinerary: outbound flight, hotels in Makkah and Madinah, return flight.
  • The group's passports, with a readable photo page, as PDF, photo or Excel.
  • For a pilgrim eligible for the eVisa through residence, the document that proves it.
  • For a pilgrim on the Umrah visa: father's name, city of birth and vaccination record.

Not sure yet which route each passport takes? Our eligibility checker shows it by nationality. You can also send the passports straight away: each pilgrim's route appears as soon as the passport is read.

Submitting, step by step

  1. Set up the agency space

Your email and a password, then a verification code at each sign-in. You fill in the agency and its representative, accept the terms and the data processing agreement, and add the commercial register extract and licence. A member of the team reviews them before request submission is opened.

  2. Create the request and describe the trip

Outbound flight, hotels by city, return flight. The dates line up and the nights are counted. This itinerary is reused in every request for the group.

  3. Send the passports

Up to 100 passports, by file or with the camera. Beyond that, open another request and keep each family whole.

  4. Sign the processing order

You read the charter and sign. The request moves to “Received”, you get a signature receipt, and the analysis starts at once.

  5. Follow the reading and checks

Each passport is read and checked: validity, duplicates, eligibility, minors, existing visa. The passport table shows live the photo, number, nationality and assigned route.

  6. Let the review happen

A member of the team approves or corrects each field, with the image in front of them. The passport goes into review, then turns green again, with nothing for you to do.

  7. Answer the questions that are yours

A decision card: one question, two to four choices, one tap. For example a scan to retake, a pilgrim's eligibility or a minor's family link.

  8. Complete the details

Marital status, occupation, country of birth and residence. Your agency's usual settings apply, visible and editable; you confirm suggestions with one tap.

  9. Choose where photos come from

Photos taken from the passports or added by you, one at a time if needed. They are cropped to the portal's format without retouching the face. For the Umrah visa, the passport photo is used.

  10. Check the summary and start data entry

You choose Normal or Express and see the cost before starting. For the eVisa, we enter the applications on the portal; for Nusuk, you sign in to your account and press “Send”.

  11. Pay the official fees

We compare the portal's summary with your data; the request is marked “Ready to pay” only when there is no difference. You pay on the portal with your card, guided step by step. On Nusuk, submitting and paying stay in your account.

  12. Receive the visas and the file

We detect the payment, collect each visa as it is issued and file it under the pilgrim's name. “File ready” shows when everything has been delivered: you download the group's file in one go.

Questions you may be asked

A reading doubt stays with us. Only what is yours to decide comes to you. Three common examples:

  • Minor detected: which adult in the request should the child be linked to? You confirm the suggested guardian, choose another one or add the guardian's passport. Each minor is entered after the adult.
  • Unreadable scan: the photo page cannot be read. You retake the photo or send another file.
  • Nationality not on the list: this passport has no access to the online eVisa. You choose the residence route with proof, your Nusuk account, or removing the pilgrim.

For pilgrims without the eVisa

In the same request, pilgrims without access to the online eVisa take the Umrah visa route. If your agency has a Nusuk account, our extension enters their records there, in your browser; you sign in, submit and pay yourself. Details: connect your Nusuk account and our guide to Nusuk Umrah visa entry. Without a Nusuk account, the Umrah visa filed by us is coming soon, nationality by nationality.

What you receive at the end

A single file: one folder per pilgrim with their visa, passport and photo, the group listing, the data entry summary, a PDF of the visas for printing, the SRDOCS for the airline, the rooming list and the badges. These travel documents are included at no extra cost.

Each pilgrim then books an Umrah permit in the Nusuk app with their visa number, before going to the Haram. To organise a departure of 50 to 100 people, see also our guide to processing 50 to 100 Umrah visas for a group.

What myumrahvisa does for your agency

We read and review each passport, enter each application and compare it with your data before payment, then collect and file the visas. Your first request is free, up to 100 passports; the rules are on the agency pricing page. We guarantee the accuracy of the information entered, based on the documents provided; visa issuance remains the decision of the Saudi authorities.

Frequently asked questions

Can we prepare a request before the agency is verified?

Yes. Before verification you can have 5 passports read and prepare 3 requests; none goes for processing until the agency is verified. After that, there is no limit.

In what form should passports be sent?

As PDF, photo or Excel, by file or with the camera, up to 100 passports per request.

What happens if a passport is unreadable?

A decision card asks you to retake the photo or send another file. Approved files can go ahead while the others wait for their correction.

How are we told about a question?

By a notification in your space and by email, grouped by request and without personal data, which opens the question directly. A reminder goes out if the answer is slow to come.

Can we correct a mistake after submission?

Before submission, you correct it in your space. A pilgrim already sent to the portal can no longer be changed: write to us from your space and a member of the team will look at it with you.

When do we pay for your service?

Once the request has been processed, never at signature. The first request is free; after that, €0.99 per processed passport in Normal, €2 in Express. Official visa fees are on top.
