For agencies

Processing 50 to 100 Umrah visas for a group: a method for travel agents

In short

To process 50 to 100 Umrah visas for one group, an agency works in this order: collect and check every passport, sort each pilgrim by route (eVisa by nationality, eVisa by residence, or Umrah visa), fix what blocks, then file while keeping each family together. The timetable is built backwards from the arrival date.

Private service, not affiliated with the Saudi authorities.

Handle a large group in stages, not in one go

With 50 to 100 pilgrims, the risk rarely comes from a rule nobody knew. It comes from a passport that arrives late, an unreadable scan or a child left out when families were grouped. The method has four stages: collect, sort, correct, file.

Give each stage an owner in the agency and a cut-off date. One principle matters: an incomplete file must never hold up the files that are ready. Our general guide to group Umrah visas for travel agents covers the possible routes; this one is about organising a large departure.

Collect and check the passports

Ask for every passport at once, with a clear deadline. The passport that turns up the day before filing is the one that causes trouble. When each one arrives, check the following:

  • The whole photo page, sharp and free of glare, with the two coded lines at the bottom readable: they carry the data that can be verified.
  • Validity: at least 6 months. A passport that expires during the season is easy to spot now, before anything else is done.
  • The name, identical to the one on the flight ticket: a single letter's difference between passport and booking causes trouble at boarding.
  • Duplicates: the same pilgrim registered twice, often by two people in the agency.
  • Families: who accompanies each child, and each person's age. No Umrah visa is issued below the age of 5.
  • Residence documents, for a pilgrim who qualifies for the eVisa through residence: a Gulf residence permit, permanent residence, or a US, UK or Schengen visa already used.

Sort each pilgrim by route

A group of 80 can include three or four nationalities. Sort them before filling anything in: each route has its own documents, timetable and payment. Our eligibility checker gives the route for each nationality, with the official source.

The FAQ of the Saudi ministry in charge of Umrah is clear on one point: an external agent cannot obtain an Umrah visa without a package covering accommodation and transport. For the part of the group going through Nusuk, bookings must be ready before data entry. See our guide to Nusuk Umrah visa entry.

Errors that block a group

Common errors on a large group, their effect and the fix
ErrorWhat it causesThe fix
Blurred, badly cropped or retouched photoFile sent back or photo to redoStart from the passport photo page, without retouching the face
Passport too close to expiryPilgrim dropped at the last minuteCheck validity at collection
Name spelt differently from the passportMismatch between visa, ticket and passportCopy the coded lines, never from memory
Child with no linked adult, or adult entered after the childChild's file to redoLink each minor to an adult in the same request, adult first
Family split across two requestsChild separated from their parentKeep each family whole in one request
Lineage fields swapped (father's name, family name)Wrong identity in the Umrah visa applicationHave the pilgrim confirm their father's name

One constraint has gone: the mahram. A woman no longer needs a male companion to obtain her Umrah visa, so there is no need to link her to a man in the group for that reason.

Splitting a group into several requests

Above 100 pilgrims, open several requests. Even below that, splitting often helps: one request per route, or per wave of passports received. Two rules for splitting:

  • A whole family in the same request: a child and the adult they are linked to are never separated.
  • One Nusuk account per country: a Nusuk account is tied to one country. You send that country's pilgrims, then sign in to the next account for the others.

We found no official source that publishes a maximum group size on the portals, so we do not quote one here.

Counting back from departure

Start from the arrival date and work backwards. The markers below are official rules or prudent margins; none of them is a guaranteed timeframe.

What myumrahvisa does for a large group

You send up to 100 passports per request, as PDF, photo or Excel. Each passport is read, checked (validity, duplicates, eligibility, minors) and then reviewed by a member of our team. You only get the questions that need your decision. We enter the application on the official portal, compare what it shows with your data, then file each visa under the pilgrim's name.

Your first request is free; after that, €0.99 per processed passport, official visa fees on top. The step-by-step route is in our tutorial on how to submit a group's passports, and the pricing rules are on the agency pricing page. Visa issuance remains the decision of the Saudi authorities.

Frequently asked questions

How many passports can one group request hold?

At myumrahvisa, up to 100 passports per request. Beyond that, you open several requests, and each family stays together in the same one.

Can a woman join an Umrah group without a mahram?

Yes. The FAQ of the Saudi ministry in charge of Umrah states that a woman may come to perform Umrah without a mahram. Nothing special is needed in the application on that account.

From what age can a child get an Umrah visa?

Five, according to the official FAQ: that is the minimum age for an Umrah visa or permit. Each minor is linked to an adult in the same request and entered after that adult.

How long before departure should a large group be filed?

There is no single deadline. For the eVisa, the official processing time ranges from one minute to three working days, not counting the time to collect and correct passports. For the Umrah visa, the press reports that it must be used to enter within 30 days of issuance, so do not file too early.

Does one blocked pilgrim hold up the whole group?

Not if you work by route and by file. At myumrahvisa, approved files can go ahead while the others wait for their correction, and a pilgrim removed before filing is not charged.

Can one group mix nationalities?

Yes. Each pilgrim follows the route that matches their nationality and documents, and each route shows as soon as the passport is read.
